ISO 9001 Quality Management System (QMS)

What is ISO 9001 Quality Management Systems?

ISO 9001 is the internationally recognised standard for Quality Management Systems (QMS) as developed by the International Organization for Standardization (ISO).  It is designed to help you consistently deliver high quality products and services while adapting to your customers evolving needs and expectations. A key focus of ISO 9001 is improving customer satisfaction by ensuring processes and procedures are in place to meet customer requirements and address issues promptly.

Improving your QMS to the level required by the ISO will strengthen your business performance by establishing processes and procedures that enhance reliability, efficiency and resilience. This not only strengthens business performance but also prepares you for whatever challenges lie ahead.

For those new to ISO standards, ISO 9001 is a great place to start.  Not only is it the world’s most popular standard, but it’s the foundation for many others. This makes integrating additional ISO standards like ISO 14001 Environmental Management and ISO 27001 Information Security, Cybersecurity and Privacy Protection easy.

How can ISO 9001 help my business grow?

You can safeguard your reputation in a matter of weeks by benchmarking your current processes and procedures against internationally recognised standards. Implementing ISO 9001 Quality Management ensures you consider all the factors that may affect the quality of your products or services. This includes identifying and evaluating risks relating to suppliers, raw materials, resources, legislation, and logistics. You can take a proactive approach to potential challenges and protect your business from disruptions and ensuring consistent quality by regularly assessing these areas.

ISO certification also opens doors to new business opportunities. Once certified, you’ll become eligible to apply for public sector tenders and private sector customers will also feel confident in your business. They’ll trust that your team operates to consistent, high-quality standards, your products, services and suppliers are closely monitored, and that you address any issues promptly. Your customers will also appreciate being asked for their feedback, knowing you will make improvements based on the information provided.

ISO 9001 also fosters a positive work culture. Your employees will enjoy working in a growing, yet customer-focused organisation that is committed to quality and where people take pride in getting things right the first time.  Many ISO 9001 certified businesses experience higher levels of employee engagement and staff retention as they feel more valued and supported. Managers will also benefit from streamlined processes, gaining greater control and confidence in their operations.

How did Simple Design Works use ISO 9001 to drive growth and overcome challenges?

Simple Design Works is a Hereford-based product design agency. It used ISO 9001 to foster substantial growth and innovation in product design, overcoming a series of challenges as the business expanded.

Simple Design Works faced increasing complexity in managing diverse projects, suppliers, and a rapidly expanding team.  By implementing ISO 9001, the company was able to streamline operations, ensuring consistent quality and create a structured approach to managing risks. This enabled it to remain agile, adapt to new opportunities, and sustain an outstanding 33% growth rate.

How does ISO 9001 solve common business challenges?

ISO 9001 can help you address some of the most common challenges businesses face by providing a framework for ensuring consistent quality in your products and services.

Organisations often adopt ISO 9001 to tackle common issues like inconsistent product or service quality, poor customer satisfaction and retention, inefficient operations and wasted resources, lack of employee engagement and high staff turnover and difficulty in making informed business decisions.

By addressing these challenges, ISO 9001 strengthens business, drives growth and enhances your overall performance.

What are the requirements of ISO 9001?

ISO 9001 is built on seven quality management principles that ensure you consistently meet your customers’ needs and expectations. These principles include a strong customer focus, effective leadership, the engagement of people, a process approach, a commitment to improvement, making evidence-based decisions, and managing relationships with all stakeholders.

The standard follows the widely recognised Annex SL structure, which consists of 10 standard clauses. The framework requires you to understand the context of your organisation, demonstrate leadership commitment and plan for effective risk management.  Additionally, you must provide the necessary support and resources, implement operation controls for the delivery of products and services, and regularly evaluate performance through monitoring and auditing.

Continuous improvement is also a key focus of ISO standards. You must not only meet customer requirements but also proactively enhance customer satisfaction. This is achieved by identifying areas for improvement, implementing corrective actions, and refining processes to achieve higher levels of quality and efficiency.

"ISO QSL were extremely helpful on answering all my questions (there were many) and helping me understand the process better. Rhiannon and Amy were amazing. The audit also went smoothly and Julia was very patient and helpful during the process. I am thinking of getting another certification and I will choose them for sure."

Who should implement ISO 9001?

ISO is suitable for all organisations, regardless of their size and sector. Whether you’re an SME or large corporation, every organisation has customers, clients, or service users. ISO 9001 is specifically designed to help any organisation to boost customer satisfaction by ensuring the consistent delivery of products and services that not only meet but exceed their expectations.

Implementing ISO 9001 demonstrates your commitment to quality, which is critical for building trust and fostering long-term relationships with your customers.

How did ISO 9001 help Eckersley O’Callaghan streamline their tendering process?

Eckersley O’Callaghan, an award-winning engineering firm known for its iconic work with structural glass, implemented ISO 9001 certification to streamline its tendering process and demonstrate its commitment to quality.

Many tenders ask for ISO 9001 certification because it provides assurance that the company maintains high quality standards.  Without it, businesses often need to work twice as hard to prove their processes are up to standard. By implementing ISO 9001, Eckersley O’Callaghan not only simplified the tendering process, but enhanced its quality control across all areas of the business, including those it previously thought were beyond its control.

When will ISO 9001:2015 be updated?

ISO 9001:2015 is currently undergoing an update, which is expected to be released sometime between the end of 2025 and early 2026. Updates to ISO standards are common practice to ensure they remain relevant and effective in an ever-changing world. The last review of ISO 9001 took place in 2021, where it was deemed fit for purpose. However, fast forward to 2024 and the changing global landscape has promoted the need for change.

While the exact changes in the new version are not yet known, we can expect a significant update. Key areas to be addressed include resilience, supply chain management, change management, sustainability, risk management, and organisational knowledge.

Despite the upcoming update, you shouldn’t be put off from implementing ISO 9001:2015 in the meantime. Once the new version is released, you will have up to three years to transition to the new version, meaning compliance to ISO 9001:2015 will remain valid until at least 2028. At ISO Quality Services, we support our certification clients throughout the transition process. Our hand-holding approach ensures that you’ll feel supported every step of the way.

How difficult is it to achieve ISO 9001 certification?

If you’re new to ISO certification, you’re not alone in asking this question. It largely depends on the size of your organisation and your current quality management practices:

  • Current QMS: If you already have robust quality management processes in place, even if they’re not formally documented, you’ll likely find certification easier to achieve. However, if you’re starting from scratch, you’ll need more time and resources.
  • Organisation size: Larger organisations typically – but not always – face more complexity in implementing the standard across multiple departments and processes. Smaller organisations might – not always – find it easier to implement changes but may have fewer resources available.
  • Leadership commitment: Success largely depends on how committed senior management is to the process. Without proper support and resource allocation, achieving certification becomes significantly more challenging.
  • Documentation requirements: You’ll need to create and maintain comprehensive documentation of your processes, which can be time-consuming. This includes quality manuals, procedure documents, work instructions, and records.
  • Staff engagement: Getting all employees to understand and follow new procedures can be challenging. You’ll need effective training programmes and regular communication to ensure everyone is on board.
  • External support: Many organisations find it helpful to work with an experienced consultant, like ISO QSL, although this isn’t mandatory. Our expertise can make the process smoother.

No, we do not provide UKAS Accreditation. We work in partnership with UKAS Accredited Bodies, and when UKAS is required, we can recommend a provider and support you through the process with our consultancy services.  In most cases, non-accredited certification is enough for most businesses. The time required to implement ISO 9001 varies depending on factors such as your organisation’s size and complexity and existing management system practices.

During the initial implementation phase, organisations generally dedicate more time to building their management system. Once established, maintaining the system often requires only a few hours per week, though this can vary based on how fully the system is integrated into daily operations.  A well established and embedded system will naturally become more efficient over time, reducing ongoing maintenance needs.

Absolutely. The majority of ISO Standards follow the same Annex SL structure. This framework consists of common clauses that cover the essential aspects of a management system.  This ensures a uniform approach across all the different ISO standards, allowing organisations to align their processes more efficiently.

Implementing multiple ISO standards simultaneously can save time and reduce costs.  However, additional ISO standards can be adopted at a later date if organisations prefer.
